Overview
The dashboard export feature lets you create a structured file of your current dashboard for a time period you choose. You can export the dashboard one time or set up regular automatic exports ("Scheduled"). For consistent exports, you can customize branding – such as logo, primary and secondary color – in the presets to match your preferences.
Accessing the Function
You can find the export function in the main navigation under Dashboards. Open your chosen dashboard and in the action bar, go to the options menu and select Export. Then a dashboard export window will appear with the tabs Single, Scheduled, and Presets.
Step-by-Step Guide
Open the Export Dialog: Start or Schedule Export
To start or schedule an export, first open the desired dashboard. In the action bar, click the three dots to open the options menu and select Export. The Export Dashboard window will open, showing the tabs Single (for one-time exports), Scheduled (for regular, automated exports), and Presets (for customizing branding and recipient email).
Single: Trigger a One-Time Export
- Title: Set a unique name for the export. Use Use default title to return to the suggested name.
- Time Period: Select the desired period; with Apply temporary date range you can pick specific periods (e.g., promotion weeks). If no temporary range is available at the moment, you’ll see the notice No range selected – in this case, the last 30 days will be exported.
- Export Method: Choose between Email (the export will be sent to your registered address) or Direct Link (you immediately get a download link to copy or open).
Once you click Export, the export process begins. Depending on the chosen method, you will either get an instant link for download or receive the export file by email after a few minutes. If another export is already running, the system will show a notice and disable the button until the current export is completed.
Scheduled: Set Up Automated, Regular Exports
In the Scheduled tab, you can set up recurring dashboard exports. Add further recipient addresses for scheduled exports in the field Additional email recipients for scheduled exports (BCC); separate multiple addresses with commas.
- The Scheduled Exports table shows your current planned exports. Use the trash icon to remove entries.
Create new schedules as follows:
- Select Dashboard: Decide which dashboard should be exported regularly.
- Frequency: Choose between weekly or monthly.
- Confirm each new schedule using the plus icon.
Exports are delivered at set times:
- Weekly exports are sent on Tuesday for the previous week (Mon–Sun)
- Monthly exports are sent on the 5th of the month for the previous month
Not every combination of dashboard and time period can be scheduled more than once; already scheduled combinations are locked and cannot be selected again.
Presets: Set Sender, Logo, and Colors
In the Presets tab, you can tailor the branding and recipients for all your exports. Here you can:
- Set or change the default email recipient
- Upload a custom logo for your exports (shown in the preview)
- Set the primary color and secondary color of your brand for the exports. Use Use default color to revert to system defaults
- A preview instantly shows how your export will look
After adjusting, save your settings with Save. The button is briefly disabled during saving and will confirm with Saved once successful.
Completion and Results
After a single export via Email, you’ll automatically receive the export file in your inbox. If you selected Direct Link, you can immediately copy or open the generated link. Scheduled exports will be sent automatically to the designated addresses according to the set schedule.
Settings & Options
- Export is only available when a specific dashboard is selected.
- Manage central BCC recipient addresses via Additional email recipients for scheduled exports (BCC).
- Control central brand defaults and main recipients for all future exports in the Presets tab.
Limitations & Special Notes
- While an export is running, input fields and start buttons are temporarily disabled to prevent conflicts.
- Note that a Direct Link can be used and shared immediately. Handle such links securely.
Tips & Best Practices
- Give each export a clear, concise title for easy identification later.
- Use the preview feature to check if your branding and colors are correct.
- For regular reporting, use the Scheduled function. Include BCC recipients to keep everyone informed.
- Use Direct Link for quick ad-hoc downloads, and the Email option for archivable, traceable delivery.
- With Apply temporary date range, you can flexibly select special evaluation periods, for example for your own campaign periods.
