Overview
The dashboard sharing feature lets you centrally duplicate existing dashboards from your main account and specifically share them with multiple client subaccounts. This solution saves you a lot of time, ensures consistent reporting structures, and enables you to easily manage and provide standardized templates.
Accessing the Function
First, go to your dashboard homepage.
In the top action bar, you'll find the Share Dashboards button in the settings.
Clicking it will open the sharing dialog, where you can distribute a dashboard to subaccounts.
Step-by-Step Guide
Step 1: Open Dashboards
Navigate to the Dashboards section. For sharing, it doesn't matter which dashboard is currently selected.
Step 2: Open the Sharing Dialog
Click Share Dashboards in the dashboard action bar. This opens the sharing dialog, where you can choose which dashboard to send to which client accounts. The Share Dashboards option is only visible when a dashboard is actively selected.
Step 3: Select a Dashboard
In the sharing dialog, you'll see a Dashboard dropdown to select which dashboard you want to share. Use the Select Dashboard option. Only shareable dashboards are shown.
Note: AMC dashboards will not appear in this list as they must be created individually for each account.
Step 4: Select Clients
In the Companies section, select the recipient subaccounts. The list shows your connected subaccounts by their respective email addresses. You can select multiple accounts at once and use the search field to find clients. If no clients are displayed, you either have no linked accounts or lack sufficient permissions.
Step 5: Confirm Sharing
Finally, click Share to start the sharing process. The dashboard will be sent to all selected subaccounts immediately. Once successful, you'll see a confirmation message: "The dashboard was successfully shared with the selected user(s)."
Settings & Options
No additional settings are needed outside of this function. The list of clients in the sharing dialog is based on your linked subaccounts, which you can manage using Switch Account.
Limitations & Special Notes
- The Share Dashboards option is only available if a dashboard is active, you have the Administrator role, and you are not in layout editing mode.
- AMC dashboards are generally excluded from sharing and will not appear in the selection.
- After sharing, the dashboard is duplicated in the target account with the same layout and charts. However, it is not set as default in the new account.
- If you share dashboards with many client accounts at once, the process may take some time depending on the data volume.
Tips & Best Practices
- Share a consistent template to your subaccounts to ensure a uniform structure across all client environments.
- Use clear and consistent dashboard names to make them easy to find. Only share thoroughly tested dashboards, not drafts.
- Start by rolling out to a few accounts at first to identify any potential errors or discrepancies.
